Last Updated: April 24, 2026
Your privacy matters to us. This Privacy Policy explains what information Admission Focus, LLC. ("Admission Focus," "we," "us," or "our") collects about you, how we use it, and the choices you have. It applies when you use our website, applications, and related services (collectively, the "Service").
We've written this in plain language where we can. If anything is unclear, please contact us.
1. Scope
This Privacy Policy applies to information we collect:
- Through our website and web application;
- When you create an account or submit information;
- When you upload content such as resumes or Statements of Purpose ("SOPs");
- When you opt in to be contacted by educational institutions;
- When you interact with us or our support team.
This Privacy Policy is incorporated into our Terms of Service.
2. Information We Collect
We collect information we need to provide our services.
A. Information You Provide
You may provide:
- Name and email address
- Academic background (e.g., GPA, test status, experience)
- Target programs and intended degree level
- Application timeline
- Career goals and funding plans
- Uploaded documents (SOPs, essays, resumes)
- Communication preferences
Providing some of this is optional, but certain features may not work without it.
B. Automatically Collected Information
When you use our Service, we may collect:
- IP address
- Device type and browser
- Pages visited and interaction data
- Cookies and similar technologies
This helps us improve security, performance, and user experience.
3. How We Use Your Information
We use information to:
- Provide application diagnostics and feedback
- Generate AI-assisted insights and drafts
- Operate and secure the platform
- Respond to support requests
- Improve and develop features, including using anonymized data to enhance our platform and inform aggregated insights
- Connect you with educational institutions if you opt in to be contacted
- Comply with legal obligations
We do not use your data for third-party advertising.
4. SOP and Essay Privacy
Your essays are personal, and we treat them that way.
- Your SOPs and drafts are used only to generate your feedback and output.
- We do not share your essay text with anyone outside of service providers we use to run the platform (such as hosting and AI providers).
- Those providers can only use your data to provide their service to us, not for their own purposes.
If you choose to include sensitive personal information in your essays or intake answers (for example, race, ethnicity, religion, sexual orientation, health, or immigration status), you consent to our processing of that information for the purpose of generating your draft and providing the Service. You can omit any such information at any time.
5. AI Processing and Service Providers
We use third-party service providers, including AI providers, hosting services, analytics tools, and payment processors to operate our Service.
These providers:
- Process information only on our behalf
- Are contractually restricted from using your data for their own marketing
- May retain limited data temporarily for security or abuse-prevention purposes
We do not use your content to train third-party AI models.
AI-Assisted Features
We use AI to analyze your profile and help generate your draft statements. The AI supports your writing; it does not make decisions about you. Admission decisions are made by the schools you apply to, not by us or our tools. You can contact us at any time to ask about AI-generated feedback or request a human review.
6. How We Share Information
We only share information in limited situations:
A. Service Providers
Companies that help operate our Service (hosting, analytics, AI processing, payment processing).
B. Legal or Business Transfers
If required by law, or in connection with a merger, acquisition, restructuring, or similar transaction. If our business transfers to a new owner, your information will continue to be protected under this policy (or one with equivalent protections).
C. Aggregated or Deidentified Information
We may use and share data that cannot reasonably identify you.
D. Educational Institutions (with your explicit consent)
If you opt in, we may share limited profile information with educational institutions so they can reach out to you about programs aligned with your goals. This sharing may include:
- Your email address
- Degree level, target programs, and intended application term
- Career path category (such as academic research or professional development)
- Application progress (whether you have completed certain steps)
We never share your SOP text, drafts, resume content, or intake answers about personal motivation as part of this opt-in.
You can withdraw this consent at any time through your account settings or by emailing us.
7. How Long We Keep Your Data
We keep your data only as long as we need to. In practice:
- Your SOPs, drafts, resumes, and intake answers: kept while your account is active. Deleted within 30 days of account deletion.
- Account information (name, email): kept while your account is active. Deleted within 30 days of account deletion, except where we need records for tax or legal reasons (typically up to 7 years).
- Payment records: kept for up to 7 years for tax and accounting compliance.
- Usage logs and technical data: kept for up to 24 months, then deleted or anonymized.
- Anonymized content for product improvement: after the periods above, we may keep a copy of your content (SOPs, intake answers) with all personal identifiers removed, and use it to improve our service and develop platform-level insights. This anonymized data cannot reasonably be linked back to you.
If you delete your account, your personal identifiers (name, email, account info) are removed from our systems within 30 days. The anonymized version of your content, if retained, cannot be re-linked to you and may continue to be used to improve our service.
You can delete your account at any time through your account settings, or by emailing legal@admissionfocus.com.
8. Data Security
We use reasonable administrative, technical, and organizational safeguards to protect your information.
No online service can guarantee complete security. If something goes wrong, we'll respond quickly and notify you as required by law.
